Save an e-way bill’s official print view as a PDF, check the saved file, and store it for business retrieval.

To archive an e-way bill as a PDF, sign in to the official e-Way Bill System, open the bill through e-Waybill → Print EWB, enter its number, and choose the displayed print option. If the portal offers Detailed Print, choose the view that contains the fields your business needs. Then open your browser’s print dialog, select Save as PDF, inspect the preview, and save the file to your approved business records location. You do not need a physical printer or scanner for this workflow.

The official manual documents the Print EWB and Detailed Print options and says the print can be taken by the generator and transporter. Its version 1.6 release date is 1 January 2023, so the current portal layout may differ. Check current portal notices if the menu no longer matches the instructions below. e-Way Bill System User Manual · official portal.

1. Open the bill’s print view

  1. Sign in to the official e-Way Bill System using an account authorized to access the bill.
  2. Open the portal’s e-Waybill option and select Print EWB.
  3. Enter the e-way bill number and submit it. The manual describes the system displaying the bill with a print option.
  4. Choose the standard print view or Detailed Print, if available. The manual confirms both options, but does not establish that one always contains more useful fields than the other. Review the displayed bill and choose the version that meets your record needs.

The manual identifies the generator and transporter as the users who can take the print. If your account cannot retrieve the bill, ask an authorized user to obtain it or check the portal’s current access guidance.

2. Save the page as a PDF

  1. With the intended print view displayed, open the browser print dialog: press Ctrl+P on Windows or Linux, or Command+P on Mac.
  2. In the print dialog, select Save as PDF as the destination. Available names and destinations can vary by device and organization setup.
  3. Review the preview. Check that the bill fits on the page and that its number, dates, parties, goods, and any other required printed details appear legibly.
  4. Save the PDF to the business’s approved records location. Use your organization’s access controls and backup process.

Chrome Help documents printing a page and choosing a destination, including a Save as PDF workflow. Its separate instructions describe uploading the resulting PDF to Drive; that is a storage choice, not a certification of tax-record compliance. Chrome Help: Print from Chrome.

3. Name, check, and file the PDF

A consistent filename makes retrieval easier. One suggested office convention is EWB_<number>_<date>_<counterparty>.pdf, for example EWB_123456789012_2026-10-04_Acme.pdf. This is a filing suggestion, not a requirement stated by the portal sources.

  • Reopen the saved PDF and confirm it is readable and includes the intended bill details.
  • Keep the exported file unaltered as the retained copy. If annotations or redactions are needed for another purpose, save that version separately.
  • File it in the approved repository so staff with the right access can retrieve it, and ensure it is covered by the organization’s backup process.

A local PDF, a cloud copy, or this export method by itself does not establish that every applicable GST record-keeping or evidentiary requirement has been met. The sources cited here do not determine legal sufficiency or a retention period. Check current official requirements and your business records policy.

What the portal guidance does and does not establish

Question What the sources establish
Where is the print option? The manual documents e-Waybill → Print EWB; enter the bill number, then use the displayed print action or Detailed Print.
Who can take the print? The manual names the generator and transporter.
Can a browser save it as a PDF? Yes. The browser print dialog can route the page to Save as PDF.
Does the PDF method alone satisfy retention rules? The available sources do not establish that. Verify current rules and your organization’s policy.
Does the FAQ require every bill to be printed? No such universal rule is established here. Its daily report-saving advice is tied to the report context on the FAQ page.

The official FAQ describes e-way bill generation in the circumstances it covers and advises generating a report daily and saving it in the user’s system in that report context. Do not treat that advice as a universal PDF retention rule. e-Way Bill System FAQ.

Or skip the browser setup

ScreenshotNeo can capture a page as a PDF with one API request. For an authorized, accessible print view, set url to that page’s URL and request PDF output using the API’s documented PDF options. The API key belongs in your request; keep it private. See the ScreenshotNeo API documentation.

curl -G "https://api.screenshotneo.com/v1/shot" \
  -d access_key=YOUR_API_KEY \
  --data-urlencode url=https://example.com/print-view \
  -d format=pdf \
  -o e-way-bill.pdf
import requests

r = requests.get(
    "https://api.screenshotneo.com/v1/shot",
    params={
        "access_key": "YOUR_API_KEY",
        "url": "https://example.com/print-view",
        "format": "pdf",
    },
    timeout=90,
)
r.raise_for_status()
with open("e-way-bill.pdf", "wb") as f:
    f.write(r.content)
const q = new URLSearchParams({
  access_key: 'YOUR_API_KEY',
  url: 'https://example.com/print-view',
  format: 'pdf',
});
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
if (!res.ok) throw new Error(`Screenshot request failed: ${res.status}`);
const fs = await import('node:fs/promises');
await fs.writeFile('e-way-bill.pdf', Buffer.from(await res.arrayBuffer()));

Replace the example URL with the authorized print-view URL. The page must be accessible to the API request; a page available only after an interactive portal sign-in may require a supported authenticated setup or may not be capturable as intended. Do not put a private session URL or credentials in a public link.

  • Cookie banners, popups, and chat widgets are removed before the shot; each cleanup step can be turned off.
  • Bot checks, blank pages, and failed loads are never billed. Responses identify the page verdict and billing status in headers.
  • An MCP server lets AI agents use screenshot, page-info, and PDF-capture tools.
  • 1,000 screenshots a month are free with no card; paid plans start at $5 for 3,000.

Troubleshooting

Problem Likely cause What to do
Print EWB is missing or the bill cannot be retrieved The portal layout may have changed, the number may be incorrect, or the signed-in account may not have the relevant access. Check current portal notices, verify the bill number, and use an account authorized to access the bill. The manual’s documented layout is from 2023.
The print view is incomplete The selected view may not show the fields you need, or the portal did not load the full view. Try Detailed Print if offered, wait for the page to finish loading, and check the preview before saving.
Save as PDF is not listed The print destination labels vary by browser, operating system, and managed-device setup. Look for a PDF destination in the print dialog. If organization policy manages destinations, ask your administrator which approved workflow to use.
PDF text is clipped, tiny, or split awkwardly Print scaling, page size, orientation, or margins may not suit the displayed bill. Adjust the available print preview settings and inspect the result again. Save only after required details are legible.
The PDF is blank or stale The page may not have finished loading, or the wrong bill/view may be open. Confirm the bill number on screen, wait for the view to render, reopen the print dialog, and verify the saved file.
A cloud upload is unavailable The destination may not be configured or permitted on the device. Save to an approved local location first, then use the organization’s approved upload and backup process.

Performance, reliability, and cost

The portal-and-browser method requires a user to retrieve and inspect the bill; it does not depend on purchasing printing or scanning equipment. A physical printer is only needed for a paper copy, and a scanner is for digitizing paper. The manual and browser help do not provide performance benchmarks or certify the exported file as a records-management system.

For repeatable capture workflows, ScreenshotNeo offers configurable waits, custom headers and cookies, PDF settings, caching, and asynchronous jobs; use only options appropriate to the page and your authorization. Its pricing is Free for 1,000 shots/month, Starter $5 for 3,000, Growth $15 for 15,000, Pro $39 for 60,000, Scale $99 for 250,000, and Business $249 for 1,000,000; yearly billing gives two months free, and every feature is on every plan. A capture service does not replace checking the output or meeting your records policy.

FAQ

Do I need a printer or scanner?

No. Save as PDF creates a digital file. A printer is optional for paper, and a scanner is useful only when converting a paper record.

Should I choose Print EWB or Detailed Print?

Choose the view that contains the fields your business needs, then verify those fields in the saved PDF. The available source confirms both choices but does not establish a universal preference.

Can I keep this PDF as the official record?

The cited sources do not determine whether this export method alone meets every legal retention or evidentiary requirement. Confirm current obligations and your organization’s policy.

Is the FAQ’s daily report advice a requirement to print each bill?

No. The cited advice concerns generating and saving a report in that FAQ’s context; it should not be generalized into a rule to print every bill.
