How to Capture and Paste a Screenshot
Capture a screenshot and paste it into a document, message, or another device. Follow the steps for Windows, Mac, Chromebook, Android, or iPhone.
To capture and paste a screenshot, take a clipboard capture (or copy the screenshot after capturing it), open a destination that accepts images, and paste: Ctrl+V on Windows or Chromebook, Command+V on Mac, or use the on-screen Paste control on a phone. If you need the image later, save it and insert or attach the saved file instead. Exact controls vary by device, operating-system version, and app.
1. Choose: paste now or save for later?
A clipboard screenshot is convenient when you want to put the image straight into a document, email, chat, or editor. Clipboard contents are temporary and can be replaced by your next copy action. Saving creates a file you can find and insert later.
| Your need | Use | Trade-off |
|---|---|---|
| Put the image somewhere now | Clipboard capture or copy, then paste | The clipboard is temporary; the destination must support pasted images. |
| Keep or attach the image later | Save the screenshot, then insert or attach the file | It takes an extra step, but the file is easier to find again. |
| Capture only part of a screen | Region or window capture | You must select the area before taking the screenshot. |
2. Windows: take a screenshot and paste it
- Press Print Screen to copy an image of the whole screen to the clipboard. On some keyboards the key is labeled PrtSc or requires an Fn key.
- Open the document, message, or editor where you want the image.
- Click in a place that accepts images and press Ctrl+V.
For a selected region or window, open Snipping Tool, choose a capture mode, and take the snip. Use Ctrl+C to copy it, then paste into the destination with Ctrl+V. Use Ctrl+S in Snipping Tool to save it as a file instead. Microsoft documents these Print Screen and Snipping Tool actions in its Snipping Tool guidance and its Microsoft 365 screen-copy instructions.
3. Mac: copy a screenshot to the clipboard
Use macOS screenshot shortcuts or the screenshot controls to capture the screen, a window, or a selection. To put the captured image on the clipboard, Control-click its screenshot thumbnail and choose Save to Clipboard. Then open the destination and press Command+V. Apple’s Mac screenshot instructions describe this clipboard option. Menu behavior can depend on macOS version.
If the screenshot was saved as a file instead, locate it in the save location and use the destination app’s Insert, Attach, or image-upload control. Some apps restrict screenshots of their windows; Apple notes Apple TV as one example.
4. Chromebook: capture, then paste
Press the Screenshot key, or open Screen Capture from Quick Settings. If your keyboard has no Screenshot key, Google lists Shift+Ctrl+Show windows as a shortcut. Choose full-screen, partial-screen, or window capture, then capture the desired area. Google says screenshots are automatically copied to the clipboard; move to a destination that accepts images and paste. See Google’s Chromebook screenshot instructions for the current controls.
5. Android: capture and share or copy
Android screenshot buttons and post-capture controls vary by manufacturer and model. Follow the steps for your phone; Google’s Android screenshot guidance points to the device maker when the standard method does not work.
After capture, use the controls shown on the phone to share or copy the image, if available. Another reliable route is to open the screenshot in the phone’s photo app and use the destination’s image insertion or attachment control. Do not assume every Android device has the same clipboard shortcut or menu.
6. iPhone: capture, then paste or share
On an iPhone with Face ID, quickly press and release the side button and volume-up button together. On Touch ID models, use the side button plus Home button, or the top button plus Home button, depending on the model. After capture, use the available preview tools to edit, share, or save. Saved screenshots are in Photos, in the Screenshots collection. Apple’s iPhone screenshot guide covers current instructions as well as the older thumbnail behavior on iOS 18 and earlier.
To insert a saved screenshot, open it in Photos, use the available copy/share control, then tap the destination and choose Paste—or use the destination’s image attachment control. For copying between an iPhone and another Apple device, Universal Clipboard requires the same Apple Account, Wi-Fi, Bluetooth, and Handoff to be enabled; clipboard content is available for a short time. See Apple’s copy-and-paste guide.
7. Paste a screenshot into a document, message, or another device
- Capture to the clipboard, or capture and choose Copy.
- Switch to the destination app and focus the document, message, or editor field.
- Paste with the platform’s shortcut or on-screen Paste action.
- Check that the image appeared. If not, save the screenshot and insert or attach the saved file.
A text-only field may accept text but reject images. Some websites and apps provide a dedicated image upload, attachment, or insert control; use that when paste is unavailable. On iPhone, use the on-screen controls. To paste from iPhone to Mac with Universal Clipboard, keep the devices nearby and check the Apple Account, Wi-Fi, Bluetooth, Handoff, and local network conditions.
8. How do I take a partial screenshot?
Choose a region or window capture before taking the screenshot. Windows Snipping Tool and Chromebook Screen Capture provide capture modes; on Mac, use the screenshot controls to select an area. On a phone, use the built-in editing or crop controls after capture if the device does not offer a region capture mode. Cropping after capture changes the image you share, while region capture avoids including the rest of the screen from the start.
9. Troubleshooting: screenshot paste not working
| Symptom | Likely cause | Fix |
|---|---|---|
| Paste does nothing | The destination field may not support images, or the screenshot was saved rather than copied. | Try the app’s Insert/Attach control. Recapture to clipboard or copy the screenshot, then paste into an image-capable area. |
| Wrong area appears | A full-screen capture was used instead of a region or window capture. | Choose partial or window mode before capture, or crop the saved image. |
| Windows Print Screen does nothing | The keyboard may require Fn, or the key may have another label or behavior. | Try Fn+Print Screen or open Snipping Tool and copy the snip with Ctrl+C. |
| Mac screenshot went to a file, not clipboard | The capture was saved to its normal location. | Use the screenshot thumbnail menu’s Save to Clipboard option, then paste with Command+V. |
| Chromebook shortcut is unavailable | The keyboard may not have a Screenshot key. | Open Screen Capture from Quick Settings or use Google’s listed Shift+Ctrl+Show windows shortcut. |
| Android shortcut does not work | Button combinations and controls differ between device makers and models. | Check the phone manufacturer’s current instructions; then use the displayed share/copy control or attach from Photos. |
| iPhone screenshot cannot paste to Mac | Universal Clipboard needs supported device settings and nearby devices, and clipboard contents expire. | Check that both devices use the same Apple Account and have Wi-Fi, Bluetooth, and Handoff enabled. If needed, share or save the image and transfer it another way. |
| A protected app window is blank or absent | The app may restrict screenshot capture. | Use an allowed export or sharing option offered by that app. |
| A later copy replaced the screenshot | Clipboard contents are temporary. | Capture again, or save the image before copying other content. |

11. Frequently asked questions
Where did my screenshot go?
If you saved it, check the location shown by the capture tool. iPhone screenshots are in Photos under Screenshots. If you copied it, it is on the clipboard and may not appear as a file.
Can I paste a screenshot into any app?
No. The app and the specific field must accept images. Use its Insert or Attach control when direct paste is unsupported.
Does a clipboard screenshot stay available?
Not necessarily. Clipboard content is temporary and may be replaced by another copy action. Save the screenshot if you need to keep it.
Why do the steps on my device look different?
Shortcuts, labels, and preview controls can vary by operating-system release, keyboard, and device model. Check the device maker’s current instructions if a control is missing.
