How to Capture and Send a Screenshot
Capture the right area, protect private information, and send screenshots from Windows, Mac, iPhone, Android, Chromebook, or code.
Capture only what the recipient needs, check it for private information, then either paste the image from your clipboard or attach the saved file. A selected region or single window is usually clearer and safer than sending your entire desktop.
1. Capture, review, and send: the reliable workflow
- Choose the scope. Use a selected rectangle for one error or control, an active-window capture for an app, or a full-screen capture only when the surrounding context matters.
- Capture the image. Use your platform’s shortcut or screenshot tool.
- Inspect it before sharing. Look for passwords, API keys, private messages, account numbers, customer data, browser tabs, and notifications. Crop or cover anything confidential.
- Add context. A short sentence explaining what the recipient should notice is more useful than an unexplained image.
- Choose delivery. Paste the clipboard image for speed, or save and attach it when the recipient needs a durable file.
- Confirm the result. Check that the image arrived, is readable at its displayed size, and is the intended version.
2. Windows 10 and Windows 11
Selected area, window, or full screen
Press Windows+Shift+S to open Snipping Tool’s capture overlay. Choose rectangular, freeform, window, or full-screen capture, then select the area or window. The snip is copied into Snipping Tool, where you can annotate, crop, save, and share it. Microsoft describes this workflow in its Snipping Tool documentation.
Keyboard shortcuts
- Windows+Shift+S: open the capture overlay.
- Print Screen: copy the full screen to the clipboard.
- Alt+Print Screen: copy the active window to the clipboard.
- Ctrl+V: paste the clipboard image into email, chat, a document, or a support form.
After a Print Screen capture, open the destination and press Ctrl+V. If the recipient needs a file, open Snipping Tool, save the image, and use the destination app’s attachment control.
3. macOS
- Shift+Command+3: capture the entire screen.
- Shift+Command+4: select a region.
- Shift+Command+4, then Space: capture a window or menu.
A thumbnail appears after capture. Select it to crop, mark up, or share immediately. If you do nothing, the image is normally saved to the Desktop; select it in Finder to rename, move, or attach it. Apple’s screenshot instructions cover these shortcuts and the post-capture editing and sharing flow.
4. iPhone
Face ID models
Press the Side button and Volume Up together, then release quickly.
Touch ID models
Press the Side or Top button and Home button together, then release.
Tap the thumbnail to crop, draw, add a shape, or redact information. Tap the share control to send it directly, or save it. Saved screenshots are in Photos → Collections → Media Types → Screenshots. Apple’s guide explains the edit, share, and save steps.
5. Android
Use your phone’s standard screenshot button combination or the Screenshot control shown by the device. After capture, use the preview to crop, annotate, save, or share. Button names and locations vary by Android version and manufacturer, so use the device maker’s support instructions if the standard method does not work. For a long page, look for a Capture more, Scroll, or similar option in the screenshot preview. Availability depends on the device and app.
6. Chromebook
Press the dedicated Screenshot key when your Chromebook has one, or press Shift+Ctrl+Show windows. Select full-screen, partial, or window capture. ChromeOS lets you review, delete, and share the result, and copies captures to the clipboard when that option is available. Clipboard delivery is fastest when the destination accepts images. Click the message or document, press Ctrl+V on Windows or Command+V on macOS, add a description, and send.
Attach a saved image
Use the paperclip or attachment control, browse to the screenshot folder, select the image, and wait for the upload to finish before sending. This is preferable when the recipient must download the original file or when the clipboard image is not accepted.
Move a phone screenshot to Windows
Connect and unlock the iPhone or Android phone, open Microsoft Photos, choose Import, and follow the prompts. Then attach the imported file from the computer.
