How to Capture a Screenshot of a SharePoint Online Site

To capture a SharePoint Online site on Windows, open the page in your browser, press Windows + Shift + S, choose a capture mode, select the content, then review and save the snip in Snipping Tool. This works for a page region, browser window, full display, or freeform area. Microsoft documents SharePoint in Microsoft 365 as a browser-based cloud service, so the capture records what is visible in that browser session.

A screenshot is a static image of the page state at the moment you capture it. It does not preserve SharePoint permissions, links, comments, list behavior, or the access rules for files embedded on the page. If recipients need to use the page, share the SharePoint page itself and verify access to separately stored documents, videos, or lists.

1. Prepare the SharePoint page

  1. Open the SharePoint Online site in Edge, Chrome, or another supported browser.
  2. Sign in with the account that can view the page. Private pages and web parts may show different content for different users.
  3. Navigate to the exact page, list, library, news post, or dashboard you want to document.
  4. Wait for visible web parts, images, and embedded content to finish loading.
  5. Arrange the browser window so the useful content is visible. Browser zoom can help fit more content, but text becomes smaller when you zoom out.
  6. Scroll to the section you need. Snipping Tool captures the current display; it does not automatically stitch an entire scrolling SharePoint page into one image.

For a page with sensitive information, close unrelated tabs and notifications first. A window or full-screen capture can include browser tabs, bookmarks, account names, or other visible data.

2. Capture the page with Windows Snipping Tool

  1. Press Windows + Shift + S. The Snipping Tool capture overlay appears.
  2. Choose a mode from the toolbar.
  3. Make the selection or choose the window, depending on the mode.
  4. Open the resulting snip in Snipping Tool.
  5. Review the image, annotate it if needed, and select the save control to store it.

Microsoft describes Snipping Tool as a way to copy words or images from all or part of a PC screen. The same shortcut is the usual answer to the SharePoint-specific screenshot question in Microsoft’s Q&A guidance.

Choose the Snipping Tool mode based on whether you need a page section, browser window, or entire display.
Choose the Snipping Tool mode based on whether you need a page section, browser window, or entire display.

Choose the correct capture mode

Mode Use it for What it includes
Rectangular A SharePoint section, card, web part, or table The rectangle you drag around the content
Window A browser-window record for documentation The selected browser window, including visible browser chrome
Full screen A record of everything currently displayed All monitors or the active full display, depending on your setup
Freeform An irregular area around a diagram or visual The shape you draw

Use rectangular mode when the image will go into a presentation and should contain only SharePoint content. Use window mode when the browser context helps an auditor understand where the image came from. Full-screen mode is useful for troubleshooting a layout that may depend on the desktop environment.

3. Edit and save the screenshot

After the capture, Snipping Tool opens the image for review. Crop away unrelated content, add a pen mark or highlight to identify a control, and then save the result. Pick a format based on the destination:

  • PNG: good for text, diagrams, lists, and sharp interface details.
  • JPEG: smaller files for photographic content, with some compression.
  • Copy to clipboard: useful when you need to paste the image directly into PowerPoint, Word, Teams, or an issue tracker.

Use a descriptive filename such as hr-policy-sharepoint-2026-09-29.png. Include the page name and date when the image is evidence of a changing page. A filename does not prove who could access the page; keep the original SharePoint URL and permission context with the document if that matters.

Remove the URL shown below an HTML snip

Microsoft documents an option for browser-window snips saved as HTML: Snipping Tool can include the page URL beneath the snip. If that URL should not appear, open Snipping Tool settings and clear Include URL below snips (HTML only). This setting applies to the HTML output described by Microsoft, not to every PNG or JPEG capture.

4. Capture a long SharePoint page

A modern SharePoint page may contain many sections, news cards, images, or web parts below the fold. The standard Snipping Tool modes capture the visible display, so a long page normally requires multiple images:

  1. Capture the first viewport with a small overlap at the bottom.
  2. Scroll down by a predictable amount.
  3. Capture the next viewport with an overlap that makes the sequence easy to align.
  4. Repeat until the required section is covered.
  5. Combine the images in a document or image editor if a single deliverable is required.

Keep the browser zoom and window size unchanged between captures. That makes text scale and column widths consistent. Do not claim that a stitched image represents content that was hidden, collapsed, or blocked for your account; record the visible state and note any omitted sections.

If you need a repeatable full-page image for many URLs, an automated browser capture is more suitable than manually scrolling. The service section below shows one option that can wait for content and capture full pages.

5. Use Print Screen as a quick alternative

The PrtSc key is another documented Windows route for a static full-screen snapshot copied to the clipboard. Press it, switch to the destination application, and paste. This is fast for a single display, but it gives you less control over selecting only the SharePoint page than the Snipping Tool overlay.

On a multi-monitor workstation, check which displays are included before sharing the result. Crop the image before sending it if another monitor contains confidential material.

6. Screenshot versus sharing the SharePoint page

A screenshot is useful when you need a visual record for a slide, ticket, release note, or incident timeline. It is not a substitute for sharing the live page when the recipient needs to follow links or interact with a list.

Use SharePoint’s Share control when the recipient should open the page. Confirm the link type and permission level, then test with an account that represents the recipient. Microsoft notes that documents, videos, or lists embedded from another location can have permissions separate from the page itself. Someone may be able to open the page but still receive an access error for an embedded item.

7. Troubleshooting common capture problems

Problem Likely cause Fix
The shortcut does nothing The keyboard focus is in a remote desktop session, another utility intercepts the keys, or Windows UI is temporarily unresponsive. Click the local desktop and try again. Open Snipping Tool from the Start menu if the shortcut remains unavailable.
The capture is black or blank The page or an embedded frame has not finished loading, or the browser is showing a transient loading state. Wait for the web part to render, refresh the page, and capture again. Check whether the content is visible before invoking the overlay.
Only part of the page is included Rectangular mode records only the area selected on the current display. Use window or full-screen mode, or make a sequence of overlapping captures while scrolling.
Text is too small The browser is zoomed out or the display resolution is high. Increase browser zoom, enlarge the window, and capture the relevant section instead of the entire display.
A web part shows an error Your account lacks permission, the embedded resource has separate permissions, or the resource has not loaded. Open the web part directly if possible, verify access, and capture only after the intended state is visible. Share the underlying item separately when required.
The image contains private tabs or notifications Window or full-screen mode includes browser and desktop surroundings. Use rectangular mode around the SharePoint content, close unrelated tabs, and dismiss notifications before recapturing.
The saved HTML image displays a URL Snipping Tool’s URL option is enabled for HTML output. Clear Include URL below snips (HTML only) in Snipping Tool settings, then save a new capture.
The page changed between captures SharePoint content, personalization, or live data changed while you were scrolling. Record the capture time, keep the same account and browser settings, and recapture the affected sequence.

8. Or skip the browser setup

For scheduled captures, many SharePoint URLs, or a clean image without manually opening a browser, ScreenshotNeo provides a website screenshot API. Send one GET request with the page URL and receive a PNG, JPEG, WebP, or PDF. The examples below use a SharePoint URL placeholder; replace it with a URL that the capture service can access.

Automated capture can wait for page content and remove common overlays before rendering the final image.

cURL

curl -G 'https://api.screenshotneo.com/v1/shot' \
  -d access_key=YOUR_API_KEY \
  --data-urlencode 'url=https://contoso.sharepoint.com/sites/Team/SitePages/Home.aspx' \
  -o sharepoint.webp

Python

import requests

r = requests.get(
    'https://api.screenshotneo.com/v1/shot',
    params={
        'access_key': 'YOUR_API_KEY',
        'url': 'https://contoso.sharepoint.com/sites/Team/SitePages/Home.aspx',
    },
    timeout=90,
)
r.raise_for_status()
open('sharepoint.webp', 'wb').write(r.content)

Node.js

const q = new URLSearchParams({
  access_key: 'YOUR_API_KEY',
  url: 'https://contoso.sharepoint.com/sites/Team/SitePages/Home.aspx'
});

const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
if (!res.ok) throw new Error(`Screenshot request failed: ${res.status}`);
const bytes = new Uint8Array(await res.arrayBuffer());
await Bun.write('sharepoint.webp', bytes);

Use authentication and access settings that are appropriate for your SharePoint deployment. If the page requires custom headers, cookies, a user agent, or an Authorization value, ScreenshotNeo supports those request options. Do not put a long-lived SharePoint secret in a public web page or client-side JavaScript.

Options useful for SharePoint captures

  • Full page: capture the complete page and load lazy images before the shot.
  • Element selection: capture one web part or region by CSS selector.
  • Viewport: choose a device preset or any custom width and height.
  • Retina scale: increase pixel density for readable text in presentations.
  • Wait controls: wait for a selector, a delay, or network idle before capture.
  • Custom CSS and JavaScript: adjust the page before the image is rendered.
  • Hide selectors: remove a floating control or other element from the output.
  • Click before capture: open an accordion or dismiss an in-page control.
  • Blocking: block ads, trackers, selected requests, or resource types to reduce noise and loading work.
  • Output: request PNG, JPEG, WebP, or PDF; PDF supports paper size, margins, landscape, and page ranges.
  • Image handling: resize the result or make the background transparent when the page permits it.
  • Caching: set a TTL when repeated requests can reuse a recent capture.
  • Automation: submit asynchronous jobs, receive signed webhooks, capture up to 100 URLs per bulk call, and read usage through the usage API.

ScreenshotNeo removes cookie and consent banners, newsletter popups, and chat widgets before the capture; each cleanup step can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed. The response identifies the result with X-Page-Verdict and X-Billed headers, which helps a job runner decide whether to retry or store the image.

It also provides an MCP server with take_screenshot, get_page_info, and capture_pdf tools for Claude, Cursor, and other MCP clients. That is useful when an AI agent needs to inspect a SharePoint page as part of a documentation or monitoring workflow.

9. Performance, reliability, and cost considerations

Manual captures

Snipping Tool has no API request cost and is appropriate for a one-off image. Its limits are manual repetition, visible-display scope, and dependence on the current signed-in browser session. Multiple screenshots also create alignment and consistency work.

Automated captures

Use a stable viewport, explicit wait condition, and a cache TTL when the same page is requested repeatedly. Waiting for a selector is usually more deterministic than relying on a fixed short delay when a SharePoint web part loads asynchronously. Full-page captures can take longer than viewport captures because more content must be rendered and lazy images loaded.

For batch jobs, use asynchronous jobs and signed webhooks so a worker does not hold an HTTP connection open unnecessarily. Bulk capture supports up to 100 URLs per call. Inspect the verdict and billing headers, store failures separately, and retry only errors that are likely transient.

Plan pricing

ScreenshotNeo’s Free plan includes 1,000 shots each month with no card. Starter is $5 for 3,000 shots, Growth is $15 for 15,000, Pro is $39 for 60,000, Scale is $99 for 250,000, and Business is $249 for 1,000,000. Yearly billing provides two months free. Every feature is available on every plan.

10. Practical checklist

  • Open the exact SharePoint page and confirm the correct account.
  • Wait for web parts and embedded content to finish loading.
  • Choose rectangular, window, full-screen, or freeform mode based on the evidence you need.
  • Check for account names, browser tabs, notifications, and other sensitive information.
  • Save with a descriptive filename and capture date.
  • For long pages, create overlapping captures with unchanged zoom and window size.
  • Share the live page when recipients need interaction, and verify permissions for embedded resources.
  • For repeatable or high-volume work, use an API with explicit waits, selectors, and result handling.

FAQ

Can I capture a SharePoint page without signing in?

Only if the page and all required content are available anonymously. A private SharePoint page requires an authenticated browser session or credentials supplied through an authorized automation setup.

Does a screenshot include SharePoint permissions?

No. It records pixels. Keep the source URL and permission information with the image if the screenshot is used for an audit or handoff.

What is the fastest Windows shortcut?

Windows + Shift + S opens the Snipping Tool capture overlay.

Can Snipping Tool make one image from an entire scrolling page?

The documented modes capture the current display or selected area. For a long page, use overlapping captures or an automated full-page screenshot service.
