How to Capture Screenshots of a UPI Merchant Dashboard for Business Documentation

Capture a useful UPI merchant dashboard screenshot for business records, protect sensitive details, and keep the original intact.

To capture a UPI merchant dashboard for business records, sign in to the dashboard or app provided by your acquiring bank or payment provider, open the view that supports your recordkeeping purpose, set the relevant date range and filters, then take a screenshot with your device. Review it for context and sensitive information, preserve the original, and store it with access limited to the people who need it.

There is no single UPI merchant dashboard or universal menu sequence. NPCI explains that merchants work with an acquiring bank to enable UPI; the bank or payment provider determines the merchant’s access and interface. If you cannot find the right report or need transaction help, contact that provider. NPCI’s UPI FAQ describes merchant acceptance and directs merchants to their acquiring bank for transaction status and grievances.

1. Choose the right dashboard view

First decide what the screenshot needs to document. Open the corresponding screen, which may be transaction history, an individual payment’s status, a sales summary, or a business-performance overview. The exact names and available reports depend on the provider. India Post Payments Bank, for example, describes a merchant app dashboard with sales and business-performance information; that is an example, not a standard UPI screen sequence.

Before capturing, apply the relevant reporting period and filters. Keep enough context visible to identify the business, date range, and figures or transactions being documented. If a single view cannot show all the necessary information legibly, take separate screenshots of the relevant views rather than shrinking text until it is unreadable.

2. Capture the screen on Android

  1. Open the relevant screen in the merchant app or web dashboard and wait for the information to finish loading.
  2. On most Android devices, press Power and Volume Down at the same time. Some devices also offer a Screenshot action after holding Power.
  3. Use the preview to check that the business context, period, and needed details are visible and readable.
  4. Find the capture in Photos or the device’s Gallery. Keep the original file as the source record.

Controls can vary by device manufacturer and Android version. Google documents scrolling screenshots on Android 12 and later for most screens that allow scrolling. If the option appears after capture, use it to include additional rows or content, then review the result carefully for legibility and completeness. See Google’s Android screenshot instructions.

3. Make the record useful and handle it carefully

  • Preserve context: retain the business identity, reporting dates, and relevant status or totals where possible.
  • Inspect the image: check for incomplete loading, clipped rows, ambiguous dates, or details unrelated to the record’s purpose.
  • Protect sensitive information: never capture or share UPI PINs, OTPs, passwords, or login credentials. Treat dashboard screenshots as potentially sensitive financial records.
  • Separate original and sharing copy: keep the original capture intact in appropriately access-controlled business storage. If a wider audience needs a copy, redact unrelated sensitive information in that copy and inspect it before sending.
  • Confirm recordkeeping requirements: ask the acquiring bank, payment provider, accountant, or auditor what records and retention period apply to your business. The sources cited here do not establish a universal screenshot format or retention duration.

NPCI says UPI apps receive bank-account details in masked form, and IPPB’s merchant terms restrict handling of sensitive customer data outside bank-provided software. These points support careful handling; they do not prescribe a general screenshot-redaction rule. Follow your provider’s terms and your business’s recordkeeping requirements.

4. App or web dashboard, single screen or scrolling capture?

Use whichever interface gives you the reporting view needed for the record. Compare the app and web dashboard based on whether they show the required dates, business identity, transaction or sales details, and whether the resulting capture is complete and readable. Do not assume a particular provider offers export or report functions unless its own documentation says so.

A single-screen capture is often easier to review when all relevant information fits. A scrolling screenshot can include more rows, but inspect it for missing content and legibility. If a long capture becomes too small to read, use multiple screenshots with clear date and screen context.

5. Troubleshooting

Problem Likely reason What to do
The dashboard or menu labels do not match instructions Providers set up their own dashboard and access. Use the provider’s official help or contact the acquiring bank. There is no universal UPI dashboard path.
Screenshot buttons do not work Button combinations vary by manufacturer, or the buttons were not pressed together. Try Power plus Volume Down together, or check the device maker’s instructions for its Screenshot action.
Scrolling capture is unavailable The device may not run Android 12 or later, or that screen may not support scrolling screenshots. Capture separate screens or use the provider’s supported way to view the records. Scrolling capture is available on most, not all, scrollable screens on Android 12 and later.
Rows or totals are missing The page may still be loading, filters may be too narrow, or the capture may not include the whole scrollable area. Wait for loading to finish, confirm the period and filters, then capture again and inspect the image.
The screenshot is too small to read A long page was compressed into one image or the view contains too much information. Use separate captures of relevant sections and retain date-range context in each where possible.
A transaction is missing or its status is unclear The dashboard may not have refreshed or the issue needs provider-side investigation. Refresh the view if appropriate, then contact the acquiring bank or payment provider. NPCI directs merchants to their acquiring banks for UPI transaction status and grievances.

6. Performance, reliability, and recordkeeping cost

A built-in device screenshot is a quick way to preserve the screen as displayed, but its reliability depends on the correct account, date filters, loaded data, and a readable capture. For records used in reconciliation or audit, retain the original and follow your provider’s and adviser’s instructions about supporting records and retention. No universal retention duration is established by the cited sources.

The phone or computer you already use may be sufficient; the research does not establish a need to buy a device or capture accessory. Check with your provider whether another record format is required for your purpose. This article does not establish that any dashboard supports a particular export format.

7. Or skip the browser setup

If your business has a web dashboard and you need a browser-rendered screenshot, ScreenshotNeo is a website screenshot API and MCP server from Yorker Media. One GET request can return a PNG, JPEG, WebP, or PDF. Its clean-shot flow accepts consent banners like a visitor and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each step can be turned off. Bot checks, blank pages, timeouts, failed loads, and cache hits cost nothing, and response headers report the page verdict and whether the shot was billed. An MCP server provides take_screenshot, get_page_info, and capture_pdf tools for Claude, Cursor, and other MCP clients.

For a one-call capture, replace the example URL with the business dashboard page and supply an API key. The API can only access pages available to it; do not put credentials or sensitive dashboard data in an exposed public page or URL. Review the provider’s access rules and the resulting file before using it as a business record.

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
import requests

r = requests.get(
    "https://api.screenshotneo.com/v1/shot",
    params={"access_key": "YOUR_API_KEY", "url": "https://stripe.com"},
    timeout=90,
)
open("shot.webp", "wb").write(r.content)
const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://stripe.com' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
if (!res.ok) throw new Error(`Screenshot request failed: ${res.status}`);
await Bun.write('shot.webp', res);

See the ScreenshotNeo API documentation for request options. It supports full-page and CSS-element captures, viewport and device presets, wait conditions, custom headers and cookies, custom CSS or JavaScript, request blocking, image formats, PDF settings, caching, signed image links, asynchronous jobs, bulk capture, and a usage API. Do not send UPI PINs, OTPs, passwords, or other secrets as request parameters.

8. Frequently asked questions

Does UPI provide one standard merchant dashboard?

No universal dashboard or menu path is established. Your acquiring bank or payment provider determines the merchant interface and access.

Can a screenshot replace the provider’s official record?

That depends on your business purpose and the requirements of your bank, provider, accountant, or auditor. Confirm which records they require.

How long should I keep dashboard screenshots?

The sources cited here do not establish a universal retention period. Ask the relevant bank or adviser about requirements that apply to your business.

Should I redact transaction details?

Keep details needed for the intended internal record. For a copy shared more widely, remove unrelated sensitive information while preserving the original in controlled storage.
