1. Define the record and its purpose

Separate factual fields from editorial or marketing claims. Do not collect personal or sensitive details just because a site exposes them. Keep client-confidential and matter information out of this workflow unless there is a justified purpose and appropriate safeguards.

2. Choose a source for each field

There is no single best website for every value. A licensing authority is generally the more appropriate place to verify admission status than a marketing directory. The attorney’s or firm’s verified materials are better suited to approved biography and work contact details. Third-party directories can corroborate information, but their authority and update practices should be established before treating them as definitive.

  1. Build a field-to-source map before collecting anything.
  2. For each source, record why it is suitable for the field, what access method is allowed, and what uses are permitted.
  3. Exclude sources that do not permit the planned access or use, or obtain the required permission.
  4. Store source URL, retrieval date, field captured, and the relevant license or terms decision with each imported value.

3. Match people conservatively

Names alone are not enough to merge records. Normalize harmless formatting differences, but keep distinctions that could identify different people. Compare multiple available attributes, such as bar jurisdiction and number, firm, office location, and professional contact details. Do not assume that two people with the same name are the same attorney.

  • Automatically link a source record only when the match meets a documented confidence rule based on multiple identifiers.
  • Queue missing identifiers, near-matches, and conflicting values for human review.
  • Keep the old value and proposed value in an audit trail; do not silently replace a firm-approved value.
  • Record who resolved a conflict, when, and which evidence supported the decision.

Dates and current status are volatile. A bar status, firm affiliation, phone number, or practice description can change. Set a review cadence based on the field’s volatility and the consequences of stale information. A lookup verifies a value at a point in time; it does not establish permanent accuracy.

4. Review profiles before publishing

An internal field may be inappropriate or misleading in public marketing. Have an accountable reviewer confirm titles, admission claims, awards, ratings, endorsements, and practice descriptions before they appear on firm-controlled pages.

6. Choose an enrichment method

7. A safe automation pattern

For a recurring job, make the pipeline produce proposed updates rather than directly overwriting approved profile data. A practical sequence is:

  1. Load a defined list of attorneys and the fields needed for the job.
  2. Check each source’s permitted access and use before retrieval.
  3. Fetch only approved fields using an authorized API or other permitted method.
  4. Attach source URL, checked-at timestamp, and source-specific notes to each value.
  5. Normalize formatting without discarding distinguishing details.
  6. Match using multiple identifiers and assign an uncertainty state to incomplete matches.
  7. Compare proposed values with firm-approved values and identify conflicts.
  8. Send uncertain matches and material changes to a reviewer.
  9. Write only approved changes through the firm’s API, with retries, rate limiting, and an audit record.
  10. Apply the firm’s retention and deletion rules to raw and derived data.

Use least-privilege credentials, keep secrets out of source code and logs, and avoid sending client or matter data to an enrichment vendor. Confirm vendor safeguards and incident procedures with the firm’s technical and legal reviewers.

For reliability, distinguish source retrieval failure from a genuine change: a timeout or unavailable page must not be interpreted as a blank field. Keep proposed values separate until validated, log enough to trace a change without recording unnecessary personal data, and alert an owner when a run repeatedly fails. Recheck vendor limits and documentation before deployment because API behavior can change.
