How to Fix Linked Images Not Displaying in Outlook
Linked images are usually blocked remote content. Use the exact fix for Outlook on Windows, Mac, iOS or Android.
Linked images in Outlook are usually blocked remote content, not broken attachments. Outlook treats pictures hosted on the internet as external images and may require per-message approval or a client setting change. First identify your Outlook app, then use the matching steps below.
1. Identify what kind of image is missing
Linked (remote) images are loaded from an image URL, so Outlook must contact the sender’s server. Embedded or attached images are stored in the message and are generally unaffected by external-image settings.
If Outlook shows a “Download Pictures” notice or an external-images banner, you are dealing with linked content. If there is no notice and only one sender’s images fail, ask the sender to verify that the image URL is valid and reachable.
2. Classic Outlook for Windows
Show pictures in one trusted message
- Open or preview the message.
- In the InfoBar, select Download Pictures.
- If you opened the message in its own window, save it if you want the pictures to appear next time. In the Reading Pane, Outlook saves the message automatically after this action.
Use this only for a message and sender you trust. Microsoft says blocking pictures helps protect against tracking and unwanted remote downloads.
Trust a sender or domain
Right-click a blocked picture and choose Add Sender to Safe Senders List or Add the Domain @domain to Safe Senders List.
Change automatic-download controls
- Open File > Options > Trust Center.
- Select Trust Center Settings, then Automatic Download.
- Review the option that prevents automatic downloads of pictures in HTML email and RSS items, plus the more specific options.
- Apply the least-permissive setting that meets your need and reopen the message.
Clearing the broad blocking option is convenient but permits remote requests from messages you have not individually approved. A request can reveal that a message was opened, including through a tracking pixel. These instructions apply to classic Outlook for Microsoft 365, Outlook 2024, 2021, 2019 and 2016.
3. Outlook for Mac
- Go to Outlook > Settings > Email > Reading.
- Under Download external images, choose Always, My contacts, organisation(s) and safe senders, or Ask before downloading.
| Setting | Result | Trade-off |
|---|---|---|
| Always | Downloads linked pictures automatically. | Most convenient; permits remote requests. |
| Contacts, organisations and safe senders | Downloads for trusted sources. | Balanced control. |
| Ask before downloading | Prompts for each message. | Most privacy control. |
This setting applies to pictures stored on the internet. It does not control attached or embedded pictures.
4. Outlook for iOS and Android
When Block external images is enabled, tap the banner above the email to download linked pictures. An IT administrator may enforce this setting. If the control is unavailable or resets, contact your administrator.
The mobile control protects against tracking through web beacons, applies to the reading pane and does not block images embedded as attachments. When replying or forwarding, linked images may remain absent if you did not display them in the original message first.
5. Signed or encrypted messages
Windows Outlook can restrict external content in signed or encrypted S/MIME messages. If pictures fail only in these messages, review the Trust Center automatic-download policy. A workplace policy may lock the option; ask IT to change it.
6. Diagnostic checklist
- Identify the client: classic Windows, Mac, iOS, Android, new Outlook or Outlook on the web.
- Look for a blocked-images notice and use that client’s download action.
- Determine whether the picture is linked, embedded or attached.
- Choose per-message approval, trusted-sender rules or broader automatic downloads.
- Check for company policy restrictions.
- If no notice appears and only certain messages fail, have the sender test the image URL, permissions, HTTPS certificate and hosting.
7. Privacy and reliability trade-offs
| Choice | Benefit | Cost |
|---|---|---|
| Per-message approval | Limits requests to messages you inspect. | Manual step. |
| Safe senders | Automatic display for known sources. | Trust lists can become too broad. |
| Always download | No prompts. | Remote servers may observe opens. |
8. Common errors and fixes
| Symptom | Cause | Fix |
|---|---|---|
| Download Pictures appears repeatedly | Sender is not trusted or downloads remain blocked. | Approve the message, add the sender/domain, or review Trust Center. |
| Mobile control is unavailable | Administrator policy. | Ask IT to review the policy. |
| Only S/MIME messages fail | External content restriction. | Review Trust Center policy or contact IT. |
| Attachments show but logos do not | Logos are remote images. | Approve the message or change the setting. |
| Images still fail after approval | Broken URL, inaccessible host, certificate or sender outage. | Have the sender test and repair the image URL. |
| Images disappear in replies | Original linked images were never downloaded. | Display them before replying or forwarding. |
| Windows steps do not match | You use new Outlook or Outlook on the web. | Check that client’s current settings; do not assume classic Trust Center paths apply. |
9. Or skip the browser setup
For a deterministic image of a web page, hosted email preview or test fixture, ScreenshotNeo captures a URL with one request. Cookie-consent banners, newsletter popups and chat widgets are removed before the shot; bot checks, blank pages and failed loads are never billed; and its MCP server lets AI agents take screenshots. The free plan includes 1,000 screenshots a month with no card, and paid plans start at $5 for 3,000 shots. See the ScreenshotNeo API docs.
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://example.com/email-preview -o shot.webp
import requests
r = requests.get("https://api.screenshotneo.com/v1/shot", params={"access_key": "YOUR_API_KEY", "url": "https://example.com/email-preview"}, timeout=90)
open("shot.webp", "wb").write(r.content)
const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://example.com/email-preview' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
Inspect X-Page-Verdict and X-Billed response headers to see whether a clean page was captured and billed. Options include full-page or element capture, custom headers and cookies, waits, request blocking, caching and signed links.
Create a free ScreenshotNeo account with 1,000 screenshots per month and no card.
10. FAQ
Why do attachments display while logos do not?
Attachments and embedded pictures are already in the message; logos loaded from a web URL are external.
Can downloading pictures tell the sender I opened the email?
Yes. Loading a remote image sends a request that may reveal message activity or load a tracking pixel.
Can one setting fix every Outlook version?
No. Windows, Mac and mobile expose different controls, and classic Trust Center instructions do not cover every newer client.
Who can change a locked setting?
Your organization’s Microsoft 365 or device administrator.
