How to Insert a Screenshot into a Word Document
Learn the fastest way to insert screenshots in Word on Windows, Mac, desktop and web, including troubleshooting and an API option.
Direct answer: In desktop Word, click where the image should go, open Insert > Screenshot, then choose an open window or Screen Clipping. To insert an existing screenshot file, use Insert > Pictures. In Word for the web, insert a saved picture from your computer if copy and paste does not work.
Insert a screenshot directly in Word desktop
- Open the web page or application you want to capture.
- Bring the source window to the front. Keep it open and do not minimize it; minimized windows do not appear in Word’s screenshot gallery.
- Open your Word document and click at the location where the screenshot should appear.
- Choose Insert > Screenshot.
- Select a window thumbnail to insert the entire window.
- Choose Screen Clipping to select a rectangular portion of the first available window. Drag across the area to capture it.
Word places the capture at the cursor position. Repeat the process to add additional screenshots. Menu names can vary by Word edition and platform; Microsoft documents this workflow in its Office support documentation.
When several windows are open
Word uses the windows available in its screenshot gallery. If the intended page is missing, switch to that application, restore it if minimized, and return to Word. For a clipping, bring the correct source window to the front before opening the gallery.
Capture first, then insert the saved image on Windows
Use this route when you need to review, annotate, or reuse the screenshot before adding it to the document.
- Open Snipping Tool in Windows 10 or Windows 11.
- Choose a capture mode: freeform, rectangular, window, or full screen.
- Select the area or window.
- Edit the snip if needed, then save it as an image file.
- In Word, click at the insertion point and choose Insert > Pictures.
- Select the saved file and choose Insert.
Snipping Tool can copy the capture for immediate pasting, but saving a file gives you a reliable fallback when paste behaves inconsistently. See Microsoft’s Windows and Office support documentation for edition-specific labels.
Capture and insert a screenshot on Mac
macOS includes screenshot shortcuts that work independently of Word:
- Shift-Command-3: capture the entire screen.
- Shift-Command-4: drag to capture a selected region.
- Shift-Command-4, then Space: capture a window or menu.
macOS shows a thumbnail for editing and saves the capture by default on the Desktop. In Word, choose Insert > Pictures > Picture from File, select the capture, and insert it.
Insert a screenshot in Word for the web
- Save the screenshot as a local PNG, JPEG, or other supported image file.
- Open the document in Word for the web.
- Click where the picture belongs.
- Choose Insert > Picture, select the file from your computer, and confirm.
Word for the web can accept pictures copied from the web. Pictures copied from some other documents or programs may not paste successfully. If paste fails, save the image locally and use Insert > Picture.
Choose the right workflow
| Workflow | Best for | Saved file required? |
|---|---|---|
| Word desktop > Screenshot | Quickly capturing an open window or clipping | No |
| Windows Snipping Tool | Annotating, reviewing, or reusing a capture | Usually |
| macOS shortcuts | Capturing a full screen, region, or window | Yes for file insertion |
| Word for the web | Adding an existing image in a browser | Recommended |
Format and position the screenshot
After insertion, select the image to access Word’s picture controls. Crop excess browser chrome, resize from a corner to preserve the aspect ratio, and use layout or text-wrapping controls when the screenshot should sit beside paragraphs. For technical documentation, keep screenshots large enough that labels remain readable when the document is printed or exported to PDF.
- Use Crop to remove unrelated tabs, toolbars, or empty margins.
- Use Alt Text to describe the screenshot for screen-reader users.
- Use a consistent width for a series of screenshots.
- Add a caption when the image is evidence for a numbered step.
Or skip the browser setup
If the screenshot is of a web page, ScreenshotNeo can capture the page as an image or PDF through one request. It accepts consent banners before capture and removes more than 60 known consent platforms, newsletter popups, and chat widgets; each step can be turned off. Bot checks, blank pages, timeouts, failed loads, and cache hits are not billed, and the response identifies the result with X-Page-Verdict and X-Billed headers.
See the ScreenshotNeo API documentation for all options, including full-page capture, CSS selectors, custom CSS and JavaScript, device presets, dark mode, PDF settings, waits, request blocking, headers, cookies, geolocation, caching, signed links, asynchronous jobs, bulk capture, and usage data.

Troubleshooting
| Problem | Cause | Fix |
|---|---|---|
| The source window is missing | It is minimized or not active | Restore it, bring it to the front, then reopen Insert > Screenshot. |
| Screen Clipping captures the wrong window | Another window was first in the gallery | Activate the intended source before opening the screenshot menu. |
| Paste does nothing in Word for the web | The source application does not expose a compatible image | Save the screenshot locally and use Insert > Picture. |
| The image looks blurry | The capture was scaled up or saved at low resolution | Capture at the needed display size, avoid enlarging, or use a higher-resolution source. |
| Only part of a long page is visible | A normal screen capture records the viewport | Use a full-page capture tool or capture several sections and insert them separately. |
| ScreenshotNeo returns an error | Invalid key, inaccessible URL, timeout, or bot check | Check the key and URL, increase wait settings when appropriate, and inspect X-Page-Verdict and X-Billed. |
Performance, reliability, and cost notes
- Direct Word capture is fastest for a single visible window because it avoids saving and reopening a file.
- Saving captures is safer for review workflows and gives you a reusable source image.
- For long or dynamic pages, wait for a selector, delay, or network idle before capture; full-page mode can load lazy images.
- For repeated web captures, caching with a chosen TTL can reduce duplicate work. Failed loads and cache hits are not billed by ScreenshotNeo.
- Use PNG for sharp interface text, JPEG for photographs, and WebP when file size matters. ScreenshotNeo can return PNG, JPEG, WebP, or PDF.
FAQ
Can I insert a screenshot without saving it?
Yes. Word desktop can insert an open window or screen clipping directly from Insert > Screenshot.
Why is Screenshot unavailable in my Word version?
The built-in command is documented for supported desktop editions. Use your operating system’s capture tool, save the image, and insert it with Insert > Pictures.
What is the most reliable method for Word for the web?
Save the screenshot on your computer and insert it with Insert > Picture.
Can a web screenshot include content below the fold?
A normal screen clipping cannot. Use a full-page capture workflow, then insert the resulting image or PDF.
