OneNote Screenshot Shortcut on Windows 11

Use Windows+Shift+S on Windows 11. Select the area when the screen dims, switch to your OneNote desktop page, click where the image should go, and press Ctrl+V. Windows copies the capture to the clipboard, and OneNote inserts it as a picture.

This workflow applies to OneNote for Microsoft 365, OneNote 2024, OneNote 2021, and OneNote 2016. Microsoft notes that its shortcut documentation uses a US keyboard layout, so key positions can differ on other layouts. Quick steps

  1. Open the webpage, app window, or document you want to capture.
  2. Press Windows+Shift+S.
  3. When the desktop dims, choose a capture mode if the Snipping Tool toolbar appears.
  4. Drag over the region you need. In window or full-screen mode, select the target window or let Windows capture the entire display.
  5. Open OneNote and select the notebook, section, and page.
  6. Click the exact position where the clipping should appear.
  7. Press Ctrl+V.

The result is a static image. It does not stay linked to the original webpage or application, so later changes to the source will not update the picture. You can still copy text from an image in OneNote and paste it as editable text. Microsoft Support explains these behaviors.

Choose the right capture mode

  • Rectangular snip: drag a precise rectangle around the content.
  • Free-form snip: draw an irregular outline.
  • Window snip: capture one complete application window.
  • Full-screen snip: capture every visible display area.

For a webpage, zoom the browser and scroll so the important content is visible before capturing. Windows captures pixels currently on screen; it does not automatically include content below the fold.

Using the OneNote notification-area icon

Microsoft’s shortcut reference lists the OneNote icon as active in the Windows taskbar notification area for its “Insert a screen clipping” workflow. If the icon is missing, enable the OneNote or Send to OneNote tool in Windows taskbar notification-area settings, then retry. The newer Windows+Shift+S path sends the image directly to the clipboard, so you can paste it into OneNote or another application.

Why the image is not appearing in OneNote

  1. You pasted into the wrong place. Click inside the page body, not only the page list or section tab, then press Ctrl+V.
  2. The clipboard was replaced. A later copy action overwrote the clipping. Capture again and paste immediately.
  3. The shortcut does nothing. Check that the Windows key is not disabled by a keyboard utility, game mode, remote-desktop policy, or hardware switch.
  4. The screen did not dim. Close a full-screen exclusive application, unlock the desktop, and retry. You can also use Insert > Screen Clipping or Alt+N+R in OneNote desktop.
  5. OneNote is in the browser. The cited shortcuts target the Windows desktop application. Open the installed OneNote app when you need this exact workflow.
  6. Only part of a multi-monitor setup was captured. Select the intended monitor or use full-screen mode, then crop the image in OneNote.
  7. The pasted image is blurry. Capture at a larger display scale or zoom the source before selecting. Avoid repeatedly enlarging a small clipping.
  8. Text cannot be edited. A clipping is a bitmap. Use OneNote’s copy-text-from-picture capability when available, then proofread the extracted text.

Practical checklist

  • Bring the exact source content into view.
  • Hide notifications, password fields, and unrelated windows before capture.
  • Choose rectangular mode for a focused note and window mode for an application screenshot.
  • Click the destination page before pasting.
  • Add a short caption or source URL below the image because the clipping has no live link.
  • Remember that a new capture is needed when the source changes.

Performance, reliability, and privacy notes

This local workflow is usually immediate because the image is created by Windows and transferred through the clipboard. Reliability depends on the active desktop session, keyboard shortcuts, and available clipboard space. Remote desktop sessions, virtual machines, kiosk policies, and keyboard-remapping software can intercept the Windows key or clipboard; the OneNote menu command is a useful fallback.

A clipping records whatever is visible, including personal data, tokens, notifications, and customer information. Review the selected rectangle before pasting and crop or delete sensitive details afterward. The capture is stored in the notebook as an image and does not automatically refresh.
