How to Use PDF Tools in Appian
Choose the right Appian PDF tool for viewing, filling, merging, extracting, converting, securing, and managing documents.
Start with the PDF task
Appian does not have one universal PDF editor. Choose the feature that matches the job:
- Display a stored PDF: use

Display a PDF in an Appian interface
Use the Document Viewer component when a user needs to read a PDF that is already stored in Appian or represented by a document-management record. The component renders the file; it does not edit PDF content.

For a record type managing an Appian-stored document, reference its document field. For an external document record, pass the record as documented for that storage arrangement [c001].

Populate a PDF form with process data
Use PDF Doc From Template when the source file is a fillable Adobe Acrobat form and the process must write values into its fields [c002]. It is a form-population service, not a general PDF layout engine.

- Place the Acrobat form PDF in Appian Document Management.
- Create or open the process model that owns the data.
- Add the PDF Doc From Template smart service node.
- Select the PDF form template.
- Map detected form fields to text values or Appian expressions.
- Choose whether to create a new document or replace an existing document.
- Store the node’s returned document ID in a Document process variable.
- Use that variable in later steps, such as displaying the result or sending it for approval.

Template constraints
- The template must be an Adobe Acrobat form PDF, not an ordinary non-fillable PDF.
- Variable-length fields and image fields are not supported by the documented smart service [c002].
- The node is not compatible with autoscale.
- The process identity needs access to the template and destination folder or document.
- Missing template access, an invalid destination, or insufficient rights can raise an exception and pause the process [c002].
