How to Take a Webpage Screenshot and Save It as a PDF on Windows for a Report

Capture the visible page with Snipping Tool, save the full page as a PDF from Edge, or use both for a report that needs each.

For a readable, multi-page webpage record on Windows, print the page from Microsoft Edge to PDF. For an image of exactly what is visible on screen, capture it with Snipping Tool. If a report needs both the visible appearance and longer page content, include both files: a screenshot records the selected screen area, while the PDF lays out printable content across pages. These outputs serve different purposes and neither necessarily preserves every interactive or dynamic feature.

Choose the right format for your report

Report need Use What it captures
Show the visible part of a page as it appeared on screen Screenshot A selected area, window, or screen. It captures only what is visible in the chosen capture.
Include longer page content in a readable, printable document PDF from Edge Page content formatted into printable pages, with controls for orientation, paper size, margins, and scaling.
Show a specific visual state and provide the longer text Both A screenshot for the visual state and a PDF for page-flow content.

Microsoft documents Edge’s print settings and Snipping Tool’s capture modes. The recommendation to use both when both kinds of evidence matter follows from the different jobs these tools perform. Microsoft’s Edge printing guide · Microsoft’s Snipping Tool guide

Save a webpage as a PDF in Microsoft Edge

  1. Open the webpage in Edge. Wait for the specific text, images, or charts you need to appear. If the page loads content as you scroll, scroll through the relevant sections first.
  2. Press Ctrl+P, or select Settings and more > Print. Edge also supports right-clicking the page and choosing Print.
  3. Review the print preview. Set orientation, paper size, margins, and scale to make text and tables legible. Use landscape for wide tables or charts; try portrait for ordinary text pages.
  4. If the page’s colors or background elements are missing, open More settings and enable Background graphics. Recheck the preview because backgrounds can affect appearance and printing.
  5. Choose Microsoft Print to PDF as the printer if it appears in the printer list, then select Print.
  6. In the Save Print Output As dialog, choose a folder, enter a descriptive filename, and save.
  7. Open the saved PDF and inspect every page you plan to use in the report. Check that text, tables, page breaks, and important images remain readable.

Edge’s print preview includes layout controls and a Background graphics option. Microsoft’s Windows guidance describes Microsoft Print to PDF and the output save dialog for Windows 10 and 11; exact printer names and dialog labels can vary with the Windows and browser setup. Useful Edge print options

  • Orientation: choose portrait or landscape based on the content width.
  • Paper size: choose the size expected for the report. Changing it can alter line wrapping and page breaks.
  • Margins: use the preview to ensure content is not cramped or clipped.
  • Scale: reduce scale if wide content is cut off, but avoid shrinking text until it is unreadable.
  • Background graphics: enable this when essential page colors or visual details are absent from the preview.
  • Print a selection: select the relevant text or images on the page, right-click the selection, and choose Print. This is useful when the report needs only one section.
  • Immersive Reader: on eligible sites, Edge’s Immersive Reader may produce less cluttered text-focused output. It is not available for every website.

Capture a webpage screenshot with Snipping Tool

  1. Arrange Edge so the exact section or state you want is visible. Scroll to the right position, close menus you do not want in the image, and ensure notifications or account details are not exposed.
  2. Press Windows logo key + Shift + S. Choose a rectangular, free-form, window, or full-screen snip. With a rectangle or free-form capture, drag over the desired area.
  3. Select the Snipping Tool notification to open the capture. Crop or annotate if the report needs it, while retaining an unedited original if it matters to preserve the initial capture.
  4. Use the Save button or Ctrl+S, choose a location and filename, then save. Snipping Tool also copies the capture to the clipboard with Ctrl+C.
  5. Open the saved image and check that the captured area is complete and legible.

Snipping Tool supports free-form, rectangular, window, and full-screen captures. Microsoft also documents a delay option for capturing menus or other timed states. Snipping Tool capture and save instructions

Capture a menu or timed state

If a menu disappears when the snipping overlay opens, open Snipping Tool first and use its delay control. Microsoft documents delays from one to five seconds. Compose the menu or state during the countdown, then make the snip. For other transient page states, arrange the page before capture and use the delay if available.

Put the screenshot and PDF into a report

  1. Use a descriptive filename, such as pricing-page-screenshot-2026-10-04.png and pricing-page-print-2026-10-04.pdf.
  2. Record the source webpage URL and capture date in the report or its notes. A standard screenshot should not be assumed to contain its source URL automatically.
  3. Insert the screenshot where the report needs to show the on-screen visual. Attach or link the PDF where readers need to follow longer page content.
  4. Review both artifacts before sharing. Check the address or page identity, dates, pagination, legibility, and whether any private browser content is visible.

A screenshot can show browser chrome, tabs, account details, or notifications if they are inside the selected region. A PDF may paginate or render the live site differently. Previewing and reopening the output helps catch these differences.

Or skip the browser setup

If you need a repeatable webpage capture from a script or service, ScreenshotNeo is a website screenshot API and MCP server. Its API returns an image or PDF from a GET request; the service accepts consent banners and removes known consent platforms, newsletter popups, and chat widgets before capture. Bot checks, blank pages, failed loads, timeouts, and cache hits are not billed, and response headers report the page verdict and billing status. Its MCP server provides screenshot, page-info, and PDF tools for AI agents.

See the ScreenshotNeo API documentation. Example request using cURL:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

Replace YOUR_API_KEY with your API key and change the target URL. For a PDF, request the PDF output option documented by the API. The same endpoint can be called from application code; the documented example in Python is:

import requests

r = requests.get(
    "https://api.screenshotneo.com/v1/shot",
    params={"access_key": "YOUR_API_KEY", "url": "https://stripe.com"},
    timeout=90,
)
open("shot.webp", "wb").write(r.content)

Node.js example:

const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://stripe.com' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
if (!res.ok) throw new Error(`Screenshot request failed: ${res.status}`);
await import('node:fs/promises').then(fs => fs.writeFile('shot.webp', Buffer.from(await res.arrayBuffer())));

Cookie banners, popups, and chat widgets are removed before the shot. Bot checks, blank pages, and failed loads are never billed. An MCP server lets AI agents take screenshots. The free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000. Sign up for free and capture 1,000 screenshots a month with no card.

Troubleshooting

Problem Likely cause What to try
The PDF preview differs from the live page Print rendering can omit backgrounds or use print-specific page layout. Enable Background graphics if colors are missing. Adjust scale, orientation, and margins, then inspect the preview again.
Navigation, ads, or other clutter fills the PDF The site includes surrounding content in its printable layout. Try Immersive Reader on eligible sites. To print only a section, select its text or images, right-click, and choose Print.
Wide tables or images are clipped Content exceeds the printable width. Try landscape orientation or adjust scale and margins. Verify text remains readable after scaling.
Only part of the page appears in the screenshot A screen capture records the visible selected area, not the entire scrolling webpage. Scroll and capture additional sections, or print the page to PDF for a paginated record.
Snipping Tool misses an open menu The capture overlay or delay left time for the menu to close. Open Snipping Tool first and use its delay capture, then open the menu during the countdown.
Edge cannot show print preview The issue may be with the page, Edge, a driver, Windows, or connectivity. Try another site or document to isolate the source, then retry or restart Edge. Microsoft’s troubleshooting guide recommends testing other content to identify whether the page is the cause.
Microsoft Print to PDF is not listed The Windows virtual printer may be unavailable or disabled in that setup. Check Windows optional features for Microsoft Print to PDF or use another available PDF destination. Availability and labels can vary.
The saved file is hard to find The output dialog may have saved to a different folder than expected. Note the folder in the save dialog and use a descriptive filename. Reopen the output from that location to confirm it saved correctly.

Quality, reliability, and cost notes

  • Quality: inspect the PDF preview and saved pages, especially for tables, background colors, and page breaks. Inspect screenshot boundaries and legibility separately.
  • Reliability: a browser print or screen capture records the page state available at that moment. Wait for needed content and capture relevant lazy-loaded sections by scrolling before printing or capturing.
  • Provenance: include the URL and date in your report notes. Do not assume a regular PNG screenshot embeds either.
  • Privacy: inspect browser tabs, notifications, account data, and page content before sharing either artifact.
  • Cost: the Windows workflow uses Edge, Snipping Tool, and the built-in Microsoft Print to PDF utility; no task-specific purchase is required. Automated API capture has a separate service price. ScreenshotNeo offers 1,000 shots monthly free without a card; paid plans are Starter $5 for 3,000, Growth $15 for 15,000, Pro $39 for 60,000, Scale $99 for 250,000, and Business $249 for 1,000,000. Yearly billing gives two months free, and every feature is available on every plan.

FAQ

Can I save only one section of a webpage as a PDF?

Yes. Select the relevant text or images in Edge, right-click the selection, and choose Print. Review the preview before saving.

Does a screenshot include the whole scrolling webpage?

A Snipping Tool capture shows the selected visible screen area. For content extending beyond the viewport, capture multiple sections or print the page to PDF.

Should I submit a screenshot or a PDF?

Use a screenshot when the report needs a particular visible visual state, a PDF for longer printable content, and both when the report needs both kinds of evidence.

Can I capture a webpage that requires sign-in?

In the manual workflow, open the page in a signed-in Edge session and capture only information you are permitted to include in the report. Inspect the output for private details before sharing.
