How to Capture and Mark Up Screenshots on Mac

1. Choose the right Mac screenshot method

2. Capture the entire screen

  1. Press and release Shift-Command-3.
  2. Wait for the floating thumbnail if it is enabled.
  3. The file normally appears on the desktop unless you changed the destination.

Use this mode when surrounding context matters, such as documenting a multi-window bug. On a multi-display Mac, check whether the result includes the display you intended before sharing it.

3. Capture a selected area

  1. Press Shift-Command-4. The pointer becomes a crosshair.
  2. Drag across the region you want.
  3. Release to capture.
  4. Press Esc while selecting to cancel.

Hold Space while dragging to move the selection without changing its size. This is useful when you need a fixed rectangle aligned to a nearby control.

4. Capture one window or menu

  1. Press Shift-Command-4.
  2. Press Space. The pointer changes to a camera.
  3. Move over the target window or menu until it is highlighted.
  4. Click to capture.

Hold Option while clicking a window to omit its shadow. A window capture is usually easier to read than a manually cropped full-screen image because macOS detects the window boundary for you.

Some applications restrict screenshots. Apple gives Apple TV as an example, so a failed capture can be an application limitation rather than a broken shortcut.

5. Use the Screenshot panel for control

  1. Press Shift-Command-5.
  2. Choose full screen, window, or selected area.
  3. Open Options before capturing.

Options can control the save destination, timer, floating thumbnail, and whether the pointer is visible. The exact format choices depend on macOS and hardware. On supported Mac models running macOS Tahoe 26 or later, Apple says Options may offer SDR (PNG) and HDR (HEIF); treat that choice as version-dependent.

A timer helps when a menu opens only after a click, when you need to position the pointer, or when you must hide a temporary overlay before capture.

6. Open a capture in Markup

  1. After capture, click the floating thumbnail before it disappears.
  2. Choose Markup in the capture window.
  3. Add shapes, lines, arrows, drawings, or text callouts.
  4. Save or share the result.

7. Annotate a saved screenshot in Preview

If the thumbnail is gone, double-click the image to open it in Preview, then show the Markup toolbar. Preview can also make a new capture from File > Take Screenshot, with choices for the entire screen, a selected area, or a window. The result opens in Preview for annotation. For a quick explanation, use a rectangle or circle around the relevant control, an arrow pointing to it, and a short text callout. Keep annotations outside the control when possible so the original text remains readable.

8. Preserve editability when annotations may change

Preview’s image annotations are effectively final after you save: Apple says they cannot then be edited, moved, or deleted individually. 9. A repeatable screenshot workflow

  1. Define the scope: full screen for context, selection for detail, window or menu for a clean app view.
  2. Prepare the screen: close private windows, position the pointer, and open the menu or state you need.
  3. Set options: use Shift-Command-5 if you need a timer, alternate destination, pointer visibility, or a format choice.
  4. Capture: use the shortest matching shortcut.
  5. Mark up promptly: click the floating thumbnail, or open the file in Preview.
  6. Choose an output format: keep the image for quick sharing; use PDF when future annotation edits matter.
  7. Review before sending: check that no passwords, private messages, browser tabs, or unrelated displays are visible.

10. Troubleshooting common Mac screenshot problems

  • Privacy: inspect the whole frame, including other monitors, menu-bar status, browser tabs, notifications, and desktop files.
