OneNote for Mac desktop: step-by-step

  1. Show the content. Open the page, app or browser view you want to document. Move the pointer away if it would obscure the capture.
  2. Choose the capture scope. Press Shift+Command+4 and drag for a region, Shift+Command+3 for the entire display, or use the window sequence for a single window.
  3. Release or click. Releasing the mouse (area) or clicking the window (window mode) completes the capture. macOS saves the image to the Desktop by default.
  4. Place the cursor in OneNote. Open the notebook and click the page location where the image should appear.
  5. Insert the file. Select Insert > Picture, choose the screenshot, and click Insert. Microsoft’s Mac instructions cover this file-based workflow.
  6. Resize or annotate. Drag an image corner to resize without distorting it. Add OneNote ink, text or shapes around the image as needed.

Capturing a precise area

When you press Shift+Command+4, the pointer becomes a crosshair. Start at one corner, drag to the opposite corner, and release. If the selection is wrong, press Escape before releasing and start again. Hold Space while dragging to reposition the selection; hold Shift to constrain one axis when lining up a narrow strip.

Capturing a window

Press Shift+Command+4, then Space. The pointer changes to a camera. Move over the target window until it is highlighted, then click. macOS captures the window with its shadow and excludes other applications.

Where the screenshot is saved

macOS normally writes screenshots to the Desktop. If you changed screenshot settings in the Screenshot toolbar, check that destination instead. You can open the toolbar with Shift+Command+5 and review the Options menu. OneNote’s Insert > Picture dialog can browse to any folder.

OneNote for the web is different

Do not use the web shortcut as if it were a desktop OneNote shortcut. Microsoft’s instructions for OneNote for the web specify Command+Control+Shift+4 for a selected area and Command+Control+Shift+3 for the whole screen. In the desktop app, the documented process is a saved image file followed by Insert > Picture. If Command+V does nothing in desktop OneNote, use the file workflow.

Troubleshooting

The shortcut does nothing

Check that you are pressing the Command key, not Control. On a non-Apple keyboard, the Windows key usually maps to Command. If macOS shortcuts were remapped, open System Settings > Keyboard > Keyboard Shortcuts > Screenshots and restore or assign the commands.

The image is not on the Desktop

The Screenshot toolbar may point to Documents, Clipboard or another folder. Press Shift+Command+5, open Options, and inspect Save to. If it is set to Clipboard, paste into an image editor first or change the destination to a folder OneNote can browse.

OneNote cannot find the file

Use Insert > Picture > Picture from File (wording can vary by version), then navigate to the actual save folder. Confirm the screenshot finished saving before opening the dialog and verify that the file extension is a supported image type such as PNG.

The capture includes the wrong monitor

With multiple displays, full-screen capture targets the display containing the pointer or creates a file for each display depending on macOS settings. Move the pointer to the intended display, or use selected-area capture to control the result precisely.

The web shortcut pastes nothing

The clipboard combinations apply to OneNote for the web. Confirm the browser tab has focus, press Command+Control+Shift+4, complete the drag, then click the OneNote page and press Command+V. In the desktop app, save and insert the file instead.

A window capture has an unwanted shadow

Use selected-area capture and drag tightly around the window, or crop the inserted image in an image editor before inserting it. The standard window mode intentionally captures the window decoration.

Performance, reliability and file size

  • Speed: macOS shortcuts are local and normally complete immediately; the only delay is locating and inserting the saved file.
  • Reliability: The capture does not depend on a network connection. It records what is visible, so content hidden behind a scroll position, modal or collapsed section will not appear.
  • Retina displays: Retina screenshots can have more pixels than the apparent on-screen size. Large images may make a OneNote page heavier; resize the image after insertion when full resolution is unnecessary.
  • Privacy: Review the selected region before inserting it. Full-screen captures can include notifications, account names or other private data.
  • Repeatability: For recurring documentation, keep the same window size and zoom level, use a fixed capture region, and name files consistently.
