How to Take Screenshots of PowerPoint Presentations

Learn how to capture PowerPoint windows, screen regions, and slide images on Windows and Mac, with export guidance and automation options.

The best method depends on what you need:

  • To place another open window or a screen region into a slide, use Insert > Screenshot or Screen Clipping.
  • To show PowerPoint exactly as it appears on your desktop, use Windows Snipping Tool or a macOS screenshot shortcut.
  • To create standalone image files of slide artwork, save or export the slide from PowerPoint.

A desktop screenshot includes whatever is visible around the slide. An exported slide image contains the slide content itself and is usually better for publishing, documentation, or reuse.

1. Insert a screenshot directly into a PowerPoint presentation

  1. Open the window you want to capture and leave it unminimized.
  2. Open the destination presentation and select the slide where the image should go.
  3. Choose Insert > Screenshot.
  4. In Available Windows, select the window thumbnail to insert the full window.
  5. Choose Screen Clipping to drag over a region of the first window shown.

If the intended window is not first in the gallery, activate it before returning to PowerPoint. Repeat the command for additional captures. The selected window or region is inserted into the presentation.

When this method fits

  • Adding a browser page, dialog, spreadsheet, or application window to a slide.
  • Showing a workflow that includes the surrounding application chrome.

2. Capture PowerPoint on Windows

Windows 10 and Windows 11: Snipping Tool

  1. Press Windows logo key + Shift + S.
  2. Choose a mode: rectangle, window, full screen, or freeform.
  3. Select the PowerPoint window or region.
  4. Open the result in Snipping Tool if you need to mark it up.
  5. Save with Ctrl + S.

Use Print Screen for a full-screen image copied to the clipboard, or Alt + Print Screen for the active window. Paste the result into an image editor, document, or slide and save it there.

The screenshot can be opened, edited, saved, and inserted into a document or presentation. Use window capture when you want the PowerPoint frame; use area capture when you want only part of the screen.

4. Save one slide or all slides as image files

Windows

  1. Select the slide in the thumbnail pane.
  2. Choose File > Save As. For a presentation stored on OneDrive or SharePoint, the command may appear as Save a Copy.
  3. Choose an available image type, such as JPEG, PNG, GIF, or SVG.
  4. Save the file.
  5. When prompted, choose Just This One for the selected slide or All Slides for separate files for every slide.

Mac

  1. Open the slide in Normal view.
  2. Choose File > Export.
  3. Select an available image format, such as JPEG, TIFF, PNG, or BMP.
  4. Choose Save Current Slide Only when you need one slide.
  5. Set width and height if those controls are available, then export.

PowerPoint versions expose different formats and menu paths. Use the choices shown by your installed version instead of assuming every format is available on every platform.

  • Maximize the PowerPoint window before a window capture.

  • For a selected region, drag from one corner to the opposite corner and include a small margin around the artwork.
  • Prefer PNG for sharp diagrams and text when that format is available; use JPEG when file size matters more than crisp edges.
  • Check the result at its final display size. A screenshot can look sharp at 100% but soft after being enlarged.
