Learn every built-in shortcut for screenshots on Windows 10/11 and Mac, plus capture tips, troubleshooting, editing, and an API option.
Quick answer: On Windows 10 or 11, press Windows+Shift+S to open Snipping Tool and choose a region, window, or full screen. Press PrtScn to copy the full screen to the clipboard. On Mac, press Shift+Command+3 for the entire screen, Shift+Command+4 for a selected area, or Shift+Command+5 for the Screenshot panel.
Choose the capture you need
| Goal | Windows 10/11 | Mac |

How to take a screenshot on Windows
Use Snipping Tool for most captures
- Press Windows+Shift+S.
- Choose Rectangle, Window, Full screen, or Freeform.
- Drag around the area, click the target window, or let full-screen mode capture immediately.
- Open the notification in Snipping Tool to annotate, crop, copy, save, or share.
Snipping Tool supports Windows 10 and Windows 11. Its editor includes a pen, highlighter, shapes, crop, and eraser. Text actions can extract text and offer quick redaction for email addresses or phone numbers; recognition is processed locally on the device.
Capture the whole PC screen with Print Screen
Press PrtScn to copy the complete screen to the clipboard. Paste it into Paint, an email, a document, or an image editor with Ctrl+V. On current Windows settings, you can change what the Print Screen key does under Settings > Accessibility > Keyboard.
Capture menus and temporary controls
Open Snipping Tool and set a delay from 1 to 5 seconds. Start the delay, open the menu or hover state you need, and let the timer capture it before it disappears.
Record a video snip
Press Windows+Shift+R, select the region, and start recording. Use this for a short demonstration when a still image cannot show the interaction.
How to take a screenshot on a Mac
Use the Mac screenshot shortcuts
- Shift+Command+3: capture the entire screen.
- Shift+Command+4: drag to capture a portion.
- Shift+Command+4, then Space: capture a window or menu bar.
- Shift+Command+5: open Screenshot controls for full screen, window, portion, timers, and recordings.
- Shift+Command+6: capture the Touch Bar on Macs that have one.
By default, screenshots are saved as PNG files on the desktop. Hold Control with a shortcut to copy the result to the clipboard, such as Control+Shift+Command+3 for the entire screen.
Configure Screenshot options
Press Shift+Command+5, choose Options, and set the save location, timer, floating thumbnail, mouse pointer, and (where available) mouse clicks. The floating thumbnail lets you mark up or share the capture before it is stored.
Some apps, including DVD Player, may block window screenshots. Capture the whole screen or use the app’s own export function when that happens.
Use newer HDR capture formats
On supported Macs running macOS Tahoe 26 or later, Screenshot can offer SDR (PNG) or HDR (HEIF). Choose the format in Screenshot options when you need HDR color and your editor supports HEIF.
Save, copy, edit, and share the image
| Action | Windows Snipping Tool | Mac Screenshot |
|---|---|---|
| Save a file | Open the capture and press Ctrl+S | Use the floating thumbnail or Screenshot options |
| Copy to clipboard | Ctrl+C in Snipping Tool, or use PrtScn | Hold Control with the shortcut |
| Annotate | Pen, highlighter, shapes, crop, eraser | Open the thumbnail for markup |
| Share | Use Snipping Tool’s share command | Share from the thumbnail or Screenshot controls |
For documentation, crop tightly around the relevant control, keep the original resolution when text must remain readable, and redact personal data before sharing.
Common problems and fixes
| Problem | Likely cause | Fix |
|---|---|---|
| The shortcut does nothing on Windows | Keyboard layout, function-layer behavior, or disabled Print Screen mapping | Try the on-screen Snipping Tool, check Settings > Accessibility > Keyboard, and use Windows+Shift+S. |
| The capture is in the clipboard but no file exists | PrtScn copies instead of saving | Paste into Paint or another editor and save, or use Snipping Tool’s save command. |
| A menu closes before capture | The click dismisses the menu | Use a 1–5 second Snipping Tool delay or the Mac Screenshot timer. |
| Only one monitor was captured | The selected window or region covered one display | Use full-screen capture, then crop, or capture each display separately. |
| Mac window capture is unavailable | The application prevents it | Capture the full screen, select a region, or export from the application. |
| Text looks blurry | The image was scaled after capture | Capture at native display resolution and resize only once when exporting. |
| Colors differ between devices | HDR/SDR or color-profile differences | Use PNG for broad compatibility; choose HDR HEIF only when the workflow supports it. |
Or skip the browser setup
If you need repeatable screenshots of web pages, an API avoids desktop shortcuts and manual cropping. ScreenshotNeo takes a clean screenshot or PDF with one GET request. Cookie banners, newsletter popups, and chat widgets are removed before the shot. Bot checks, blank pages, timeouts, failed loads, and cache hits are not billed, and response headers identify the page verdict and billing result.
See the ScreenshotNeo API documentation for all options, including full-page capture, CSS selectors, device presets, dark mode, retina scale, custom CSS and JavaScript, waits, blocked resources, headers, cookies, geolocation, PDF settings, caching, signed links, async webhooks, bulk capture, and usage reporting.

ScreenshotNeo has an MCP server with take_screenshot, get_page_info, and capture_pdf tools for Claude, Cursor, and other MCP clients. It includes 1,000 screenshots per month free with no card; paid plans start at $5 for 3,000 shots. Create a free ScreenshotNeo account.
Performance, reliability, and cost notes
- Use a region or window capture when you only need a small area; it produces smaller files and is faster to share.
- Use full-screen capture for evidence that depends on surrounding context, such as multi-window layouts.
- For transient UI, timers are more reliable than trying to click and capture instantly.
- Keep originals until review is complete. Repeated JPEG exports can introduce visible artifacts; PNG is a safer editing format.
- For automated web captures, wait for a selector, a delay, or network idle instead of guessing a fixed pause. Cache stable pages when appropriate.
- With ScreenshotNeo, inspect
X-Page-VerdictandX-Billedso your pipeline can distinguish a clean billed shot from a failed or non-billable response.
